AFTER SCHOOL CARE PROGRAM
POLICIES AND PROCEDURES MANUAL
 
Welcome to our After School Care Program. In the Parent Handbook is a portion of the enrollment agreement between Holy Cross After School Care and the parents/guardians of children enrolled in the program. These policies supplement the Holy Cross Regional Catholic School policies and procedures.
 
GOALS
The program will provide quality childcare, which parents can rely upon throughout the school calendar year, as defined by Holy Cross Regional Catholic School. The program is open to students in grades Pre-K to 8th grade.
 
POLICIES & PROCEDURES
HOURS OF OPERATION: The program operates from school dismissal 2:50p.m. – 5:45p.m. Monday - Friday.
 
LATE FEE: All children must be picked up by 5:45p.m. or a late fee of $2.00 per minute will be charged. This fee needs to be paid directly to the staff on the day of the tardiness or the following day. If the tardiness becomes habitual, discharge from the program may result.
 
FEES: See Application for current After School Care Program fees.
The program salaries, supplies, and administrative expenses are supported entirely by program fees. Services will be billed on the last Friday of each month. Payment is due by the 15th of the following month. You may pay program staff or the office.
Full time and Regular Part Time student fees will be consistent monthly, irrespective of the actual number of school calendar days or number of days the child attends. Occasional care will be given upon availability and will be billed at the end of each month; payment is due upon receipt.
Any fees not paid by the next month of attendance may result in immediate suspension of childcare services. Reinstatement may occur on a space available basis when fees have been paid. 
If a child is withdrawn from the program or their attendance status changes without notice, billing will continue as agreed upon until proper notice is received.
 
ENROLLMENT INFORMATION: The information furnished upon enrollment should be updated promptly when changes occur. Changing information with the office is not sufficient. The After School Care Program staff needs current information at all times in our files, as the school office is not open during the same hours as After School Care Program hours.
 
STAFF CONTACT: If you need to get in touch with the After School Care Program staff during program hours (change in pick-up plans etc.) please call Peggie Foster @ 907-2775 or elementary library @ 847-5466 ext. 110. 
 
HOMEWORK: Homework times will be provided daily. Please inform us whether you prefer your student to do homework at home or school. Please check your student’s homework. We often have many children working at different levels and cannot assure neatness and accuracy. 
 
SNACKS: We provide snacks each day immediately after school in the cafeteria. On Fridays the children can purchase snacks/drinks from the machines in the cafeteria.  They will need to bring their own money. The middle school students may purchase daily from the machines.
 
LUNCH ON ½ DAYS: When the children are dismissed before noon, the school does not provide lunch, however, at times the After School Care Program will take orders for pizza, subs, etc. When offered a notice to purchase lunch an order form will be given to the parents for them to return to the ASCP in order to participate. Otherwise, the child must provide their own lunch and drink.
 
CLOTHING: We will be going outside each day, weather permitting. Please send proper clothing since temperatures are so different in the afternoon than the morning. Please label all clothing.
 
PLAY CLOTHES: If you choose to have your student change clothes they may do so after snack time. Please remind them that they are responsible for keeping up with their own clothing and for making sure that they are placed in backpacks/bags.
 
PERSONAL GAMES/TOYS: Children are allowed to bring toys from home provided they are not disruptive or taken out at inappropriate times. Those items are permissible only after snack time and only after school. They must be in the student’s backpack at all other times. Please make sure these items are clearly labeled with the student’s name. The staff/school will not be responsible for any lost or stolen items.
 
PRESCRIPTION/OTC MEDICATION: We do not dispense any medication during After School Care. Their medication is available through the front office with proper permission slips on file. The child will be sent to the office to obtain his/her medication. The front office closes at 3:30 p.m.
 
MIDDLE SCHOOL FLEXIBILITY: The Middle School students will be given certain flexibility that Elementary students are not. Once their homework is completed, the student may attend games in the gym or baseball/soccer field. Students may do this with prior written permission from parent/guardian. Students must sign out and indicate their intended destination. If students are not in their specified location when searched for this privilege will be eliminated.
 
DISCIPLINE: Our goal is to teach a child to be self-disciplined (see Early Childhood policies for specifics). If a child is breaking school rules he/she will be given time in order to calm down and think about his/her behavior. Parent/Guardian will be notified for continuous inappropriate behavior. Should the problem continue, your child could be removed from the After School Care Program.
